What we hold, and how to make us stop.

Who we are

We Sort Sites designs and builds websites for small businesses. We are the data controller for the information described here, and you can reach us at afthab@wesortsites.com. Our registered postal address is available on request and we will send it to anyone who asks.

This notice explains what personal information we handle, why, and what you can ask us to do about it.

If you want anything below actioned, email us and we will deal with it. We do not make you fill in a form to exercise a right.

Information you give us

If you contact us by the form, by email, by phone or by WhatsApp, we receive whatever you choose to send: typically your name, your email address, your business name, your website address and your message.

We use it for one thing only, which is replying to you and, if you go ahead, delivering the work. We do not sell it. We do not share it with advertisers. We do not add you to a newsletter.

Information we collect before you contact us

We approach businesses directly. If we contacted you first, we want to be straightforward about where your details came from, because you have a right to know.

We hold business contact details that were already published publicly: usually a business name, a trading address, a business phone number, a business email address and a website address. These come from open, publicly licensed map and business directory data, and in some cases from the contact page of the business's own website.

We do not buy marketing lists. We do not scrape social media profiles. We do not collect personal information about you as an individual beyond a contact name where that name is published as the business contact.

Why we are allowed to contact you

Two separate sets of rules apply, and it is worth being clear that we know that.

For holding and using your details we rely on legitimate interests: we offer a service that is plausibly relevant to your business, we use only business contact details, we contact you a small number of times, and we stop immediately when asked. We have weighed that against your interests, which is why the volume is low and the opt-out is one click.

For the marketing message itself there are separate electronic marketing rules: PECR in the United Kingdom, and national ePrivacy laws across the European Union. These are not the same everywhere, so we do not treat the EU as one place. Under UK PECR a registered company, a limited liability partnership or a public body may be emailed about relevant business services without prior consent, while a sole trader or an ordinary partnership has the same protection as an individual and we do not email those without it. Several EU countries, Germany and Austria among them, require prior consent for business marketing email regardless of company type, so we do not send unsolicited email there at all. Where we cannot tell which category you fall into, we treat you as the more protected one.

If you would rather we had not, that is a fair objection and you can end it in one step. See below.

How to make us stop

Any of these works, and all of them are permanent:

• Click the unsubscribe link at the bottom of any email we send.
• Reply to any email with the word stop. A human reads it.
• Email us and ask to be removed.
• Tell us on the phone, if we called you. We will mark it while you are still on the call.

What happens when you opt out

We keep a record that you asked not to be contacted. That sounds contradictory, so to be clear about why: we keep the minimum needed to recognise you and suppress you, so that you are not contacted again later by mistake. Deleting you entirely would mean the same public listing could be picked up again in future and you would hear from us a second time.

If you would prefer full erasure instead of suppression, ask and we will do it, and we will tell you plainly that it carries that risk.

Your rights

Depending on where you are, you can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to us using it. We will respond within one month and we will not charge you.

If you are in the UK or the EU and you are not satisfied with how we have handled it, you can complain to your national data protection authority.

How long we keep things

Enquiries and project correspondence are kept while we are working together and for a reasonable period afterwards for accounting and reference. Prospect contact details are kept only while they are useful, and suppression records are kept indefinitely so that an opt-out is honoured permanently.

Cookies and tracking

This website sets no cookies, runs no advertising pixels and does no cross-site tracking. There is nothing here to consent to, which is why you are not being shown a cookie banner.

Who else can see your information

Our website is hosted by Vercel, our email runs on Google Workspace, and we keep contact records in our own customer database, which is hosted on Supabase. Our website also loads fonts from Google Fonts, which means Google receives your IP address when the page loads. Those providers process data on our behalf as part of delivering the service. We do not pass your details to anyone else for their own purposes, and we do not sell them.

Those providers operate internationally, so your details may be stored or processed in countries other than your own, including the United States. Where that involves personal data from the United Kingdom or the European Economic Area, it is done under the safeguards those providers offer for international transfers.

Changes

If we change how any of this works, we will update this page and the date at the top.
